Privacy Policy

MeetMark is operated by NCM Ventures LLC ("we", "us"). This policy explains what information MeetMark collects, how it is used, where it is stored, who it is shared with, and the choices you have. If you have a question, write to support@meetmark.io.
What we collect
- Account information. Your email address and, if your sign-in provider shares it, your name.
- Calendar information, only if you connect a calendar. With your permission we read your upcoming events from Google Calendar or Microsoft Outlook: the event title, start and end time, location, organizer, and the names and email addresses of attendees. Access is read only. We never create, change, or delete calendar events.
- What you tell the app. Meetings you create by hand, notes about the people you meet, your answers when you prepare for a meeting, your recap after a meeting, and the commitments and follow-ups that come out of it.
- Your voice, if you choose to speak. When you talk instead of typing, your browser turns your speech into text using the speech recognition built into it, which on most browsers sends the audio to the browser maker to be recognized. The audio never reaches our servers, and we store only the text, after you have had a chance to correct it.
- Your phone number, if you turn on text reminders. Used only to send the reminders you asked for.
- Basic technical records. Standard server logs, such as the time of a request and error reports, used to keep the service running and secure.
How we use it
- To show your upcoming meetings inside the app.
- To help you prepare: a short brief and a few suggested questions for a meeting you choose.
- To send the reminders you turned on, at the times tied to your meetings.
- To organize your recap into notes, commitments, and next steps.
- To remember context about the people you meet, so your next meeting with them starts ahead.
- To suggest who to reconnect with, and to tell you why.
- To keep the service secure and working.
We do not sell your information. We do not use it for advertising. MeetMark does not send messages to other people on your behalf.
Google user data
If you connect Google Calendar, MeetMark requests read-only access to the events on calendars you own (the calendar.events.owned.readonly permission) along with your basic profile (email address and name) for sign-in. This is how that data is handled:
- Access. We read upcoming calendar events. We do not read your email, files, or contacts, and we cannot change your calendar.
- Use. Only to provide the features described above: listing your meetings, helping you prepare, and timing your reminders.
- Storage. Event details needed for those features are stored in our database, along with the access credentials Google issues so your calendar stays connected. See "Where your data lives" below.
- Sharing. Google user data is shared only with the service providers listed below, and only as needed to run these features. It is not sold, and it is not shared for advertising.
- Artificial intelligence. To write your brief, suggested questions, and recap, the relevant meeting details are processed by an AI service provider on our behalf. We do not use Google user data to develop, improve, or train artificial intelligence or machine learning models.
- People. Our staff do not read your Google user data unless you give us permission to help with a specific problem, it is necessary for security purposes, or it is required by law.
MeetMark's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Microsoft user data
If you connect Microsoft Outlook or Microsoft 365, MeetMark requests read-only access to your calendar (Calendars.Read) and your basic profile for sign-in. It is handled the same way as described above for Google: read only, used only for these features, shared only with the service providers below, never sold, and never used to train artificial intelligence models.
Who we share it with
We use a small number of service providers to run MeetMark. They process data on our behalf and only to provide their service to us:
- Supabase, for the database and sign-in.
- Vercel, for hosting the application.
- Anthropic, for the AI processing that writes briefs, questions, and recaps.
- Your browser’s speech recognition, when you choose to speak rather than type. This is a function of your browser, not a service we send your audio to.
- LeadConnector (GoHighLevel), for delivering text reminders, when you turn them on.
- An email delivery provider, for sign-in links and the emails you ask for.
We may also disclose information if the law requires it, or to protect the safety and security of our users and the service. If the business is ever sold or merged, your information would transfer under the same promises made here, and we would tell you first.
Where your data lives and how it is protected
Data is stored in the United States. Connections to MeetMark are encrypted. The database enforces a rule on every table that a signed-in user can reach only their own records. Access to production systems is limited to the people who need it to run the service. No system is perfectly secure, and we will tell you promptly if we learn of a breach that affects your information.
How long we keep it
We keep your information for as long as you have an account. If you disconnect a calendar, we stop reading it right away. If you ask us to delete your account, we delete your information within 30 days, except where we are required by law to keep a record.
Your choices
- Disconnect your calendar at any time. You can also remove MeetMark's access from your Google Account permissions page or your Microsoft account's app permissions.
- Turn reminders off for any meeting, or for all of them.
- See, correct, or delete your information. Write to support@meetmark.io and we will take care of it. Depending on where you live, you may have additional rights under local law, and we honor those requests the same way.
Notes about other people
MeetMark lets you keep notes about people you meet. Those notes come from you and from your own calendar. We do not collect information about those people from social media or other outside sources. Please keep the notes professional and relevant, the way you would in your own notebook.
Children
MeetMark is built for working adults and is not directed to children under 16.
Changes to this policy
If we change how we handle your information, we will update this page and change the effective date. If a change is significant, we will tell you in the app or by email before it takes effect.
